Creating a Send Template

A Send Template is an automated mailing that can be sent without scheduling a traditional campaign. Send Templates are commonly used for transactional messages, lifecycle communications, and automated marketing campaigns.

A Send Template can be initiated in one of two ways:

  • REST API – An external application sends the template by calling the PostUp REST API.
  • Data Trigger – PostUp automatically sends the template when recipients meet the criteria configured on the Targeting tab.

Common use cases include:

  • Welcome emails
  • Password reset emails
  • Order confirmations
  • Renewal reminders
  • Subscription onboarding
  • Event follow-up messages

 

Creating a Send Template

  1. Navigate to Send.
  2. From the Mailings menu, select Triggered.
  3. Click + New Template.
  4. Enter a title for the template.
  5. Select the appropriate Brand.
  6. Click Create.

The Send Template opens in the mailing editor.

 

Build Your Email

Configure the Send Template just as you would any standard mailing.

Typical configuration includes:

  • Subject line
  • From Name
  • From Address
  • Email content
  • Personalization and merge fields
  • Images and links

Before using the template, preview the email and send test messages to verify that all content renders correctly.

 

Configure Targeting

The Targeting tab controls how recipients qualify to receive the Send Template and provides additional controls for automated delivery.

List Targeting

Although Send Templates are not sent to a mailing list like traditional campaigns, each template should be associated with a list.

This list is used to process subscription events generated by the email. For example, if a recipient clicks a standard PostUp unsubscribe link, PostUp uses the selected list to determine which subscription should be updated.

For transactional messages that do not include an unsubscribe link, this setting generally has no impact on message delivery.

 

Recipient Eligibility

By default, Send Templates respect the recipient's subscription status.

For transactional messaging, PostUp administrators can enable options that allow messages to be sent to recipients who are:

  • Unsubscribed
  • Held
  • Blocked

These options are strictly for transactional communications where delivery is required regardless of marketing subscription status, such as:

  • Password reset emails
  • Account verification messages
  • Security notifications
  • Purchase confirmations

Note: These options must be enabled by a PostUp administrator before they are available for use.


Suppression Criteria

Additional suppression settings can be configured to prevent recipients from receiving the Send Template under specific conditions.

Available suppression options include:

  • Recipient Lists
  • Suppression Lists
  • Blocked Domains
  • Suppression Policies

These settings provide additional control beyond a recipient's standard subscription status.


Frequency Caps

Frequency Caps limit how often the same recipient can receive a Send Template.

For example, you can configure a template so it is only sent:

  • Once every 1 minute
  • Once every 4 hours
  • Once every 24 hours

Frequency Caps help prevent duplicate messages when multiple qualifying events occur within a short period of time.

 

Data Trigger

The Data Trigger section allows PostUp to automatically send the template when recipients meet date-based criteria.

Two trigger types are available.

Date Joined

Triggers the Send Template based on when a recipient joined one or more mailing lists.

Common examples include:

  • Welcome email 1 hour after joining
  • Follow-up email 7 days after subscribing
  • Onboarding message 30 days after signup

Date Occurred

Triggers the Send Template based on a date stored for the recipient.

Examples include:

  • Membership renewal date
  • Subscription expiration
  • Birthday
  • Anniversary
  • Event registration date
  • Any custom date field stored for the recipient

For each Data Trigger, configure:

  • The trigger type
  • Whether the message is sent before or after the selected date
  • The amount of time before or after the date
  • The mailing list or lists that qualify recipients

 

Attribute Conditions

After recipients qualify through the selected Data Trigger, you can further refine who receives the Send Template using recipient profile attributes.

For example, you might limit delivery to recipients whose:

  • Membership Level equals Gold
  • Customer Status equals Active
  • Preferred Language equals English
  • Country equals United States

Multiple conditions can be combined to create highly targeted automated communications.

 

Using the Send Template

Once the Send Template has been configured and saved, it can be used in one of two ways:

  • An external application can send the template immediately using the PostUp REST API.
  • PostUp can automatically send the template when recipients meet the configured Data Trigger criteria.

Unlike standard mailings, Send Templates are not scheduled manually. They are sent automatically when triggered by an API request or by the configured automation rules.
